To confirm a private tour package, motorcycle expedition, or chartered helicopter flight with Nepal Trip Packages, a 20% advance deposit is required upon reservation. The remaining 80% balance is due 14 days prior to your arrival in Kathmandu, or upon arrival during your VIP briefing at our headquarters. Payments are securely processed via international wire transfer, credit card (Visa/Mastercard/Amex), or encrypted payment gateway.

We recognize that travel plans can shift unexpectedly due to international flights or work commitments. Our transparent cancellation schedule is structured as follows: • 30+ Days Before Departure: 100% full refund of your deposit, minus a $100 administrative and permit processing fee. • 15 to 29 Days Before Departure: 50% refund of the total package cost. • 8 to 14 Days Before Departure: 25% refund of the total package cost. • Under 7 Days / No-Show: Non-refundable due to guaranteed hotel suite locks, flight holds, and assigned guide retainers; however, a 100% trip credit voucher may be issued for eligible future dates within 12 months.

All helicopter charters and domestic mountain flights in the Himalayas are strictly operated under visual flight rules (VFR) and are subject to real-time civil aviation safety protocols. In the event of mountain weather delays or air traffic restrictions, our ground operations team will immediately coordinate luxury ground transportation or reschedule flights at the earliest safe window at no extra flight modification surcharge.

All international travelers joining high-altitude treks, motorcycle expeditions, or helicopter safaris must possess comprehensive travel insurance. Your policy must cover emergency medical evacuation (up to 5,500m+ for high-altitude circuits), trip cancellation, and repatriation. Our team will verify your insurance policy details prior to expedition departure for rapid liaison with Kathmandu search-and-rescue services.

Clients must hold a valid passport with at least six months validity from the date of arrival in Nepal. On-arrival tourist visas are available at Tribhuvan International Airport (KTM). For restricted regions (such as Upper Mustang, Upper Dolpo, and Manaslu), Nepal Trip Packages directly secures all Government Department of Immigration permits, TIMS cards, and National Park entry passes on your behalf.

Nepal Trip Packages acts with maximum professional care and safety diligence. We are not liable for delays, losses, injuries, or itinerary alterations caused by force majeure events, including acts of nature, landslides, road closures, civil disturbances, or government flight groundings. In such cases, alternative equivalent itineraries and luxury accommodations will be provided.
